Office Manager

 

The Office Manager, under the direction of the Executive Director and Deputy Director, is a full-time position and is responsible for performing operations, financial, and administrative tasks, oversight, and support.

Responsibilities

1)      Operations

-          Maintain administrative filing systems

-          Coordinate IT

-          Maintain HR compliance

-          Assess benefits packages and communicate with staff about benefits

-          Review and coordinate supply requisitions

-          Create contracts

-          Assist with review, development, and implementation of administrative procedures to facilitate smooth operation of the workplace

2)      Financial

-          Monitor cash inflow and outflow daily to anticipate routine cash needs

-          Code, enter, and track accounts payable and accounts receivable

-          Support preparation of monthly and quarterly reimbursement requests to funders

-          Track payment and reconciliation of grant records for multiple funding sources

-          Monitor grant budgets

-          Submit semi-monthly payroll

-          Process financial transactions (e.g., PayPal and Blackbaud Merchant Services)

-          Review credit card expense reports

-          Prepare deposits

-          Provide support for annual audits

3)      Administrative

-          Coordinate maintenance, support, and communication with vendors/contractors

-          Coordinate scheduling and travel

-          Provide meeting support as needed (e.g., scheduling, coordinating food, logistics, etc.)

-          Prepare orders for material sales

-          Respond to information requests

-          Receive visitors to the office

-          Review timesheets for salaried and consultant staff

-          Process acknowledgement letters

-          Provide support to staff for copying, faxing, scanning, and mailing

-          Create and maintain distribution email lists

-          Provide support for quarterly board meetings

-          Coordinate logistics for special events

4)      Other Duties as Assigned

Job Qualifications

-          Three to five years’ experience in a similar position

-          Three years’ experience with financial grant management

-          Degree in business administration preferred; will accept equivalent training and experience in lieu of degree

-          Knowledge and experience with QuickBooks and Excel software

-          Ability to prioritize and balance multiple responsibilities and tasks efficiently

-          Ability to work collaboratively within a small staff office

-          Must possess excellent organizational and communications experience
